PVST Community Relations & Administrative Assistant

Position Overview

​

The Community Relations & Administrative Assistant --- is the friendly face and first point of contact for Plain Valley Ski Trails (PVST). This position supports day-to-day communication, customer service, and administrative operations that help keep our trail system, programs, and community events running smoothly. The role requires excellent communication skills, attention to detail, and a passion for community connection.

Key Responsibilities

 

Community Relations & Communication

  • Serve as the primary contact for customer inquiries: phone, email and SM.

  • Monitor PVST, PVNT, and PVAW social media channels; share updates, respond to questions, and post timely content to keep the community informed and inspired.

  • Update and maintain content on SkiPlain.com and the Washington Nordic Cup website.

  • Support creation and distribution of newsletters and announcements (digital and print) in collaboration with ED & designers.

Pass & Program Administration

  • Manage printing and distribution of season passes.

  • Oversee day pass sales logistics and pass enforcement including:

    • Managing online ticket sales system

    • Overseeing Trail Ambassadors & hourly on-site .

  • Track and reorder trails materials such as passes, maps, and signs, etc.

  • Maintain accurate participant and volunteer records for PVST, PVNT, and PVAW programs.

 

Volunteer Coordination

  • Serve as the main contact for the Trail Ambassador Program, including scheduling, supply management, and communication with volunteers.

  • Assist ED with admin associated with volunteer coaches such as processing and track coach certifications (WSP Background Check, SafeSport, etc.).

 

Fundraising & Events

  • Support the Annual Benefit Auction and other fundraising events:

    • Set up and manage online auction platforms.

    • Maintain donor and item tracking spreadsheets.

    • Support donor communications and acknowledgments in coordination with ED.

  • Assist with other community or fundraising events as needed.

Qualifications & Skills

  • Excellent written and verbal communication.

  • Strong organizational and time-management skills.

  • Experience managing social media & communications for an organization or business.

  • Proficient with Google Workspace (Docs, Sheets, Drive, Gmail); familiarity with Canva, Mailchimp, Webconnex, or Square a plus. 

  • Friendly, self-motivated, and comfortable working both independently and as part of a small team.

  • A passion for youth ski education, outdoor recreation and community building!​

Details

Reports to: Executive Director

  • Hours:

    • Seasonal (October - March)

    • Part-time (average 20-30 hours per week)

    • Compensation: $22–$27/hour DOE

    • PVST Season Pass

    • Accrued sick leave (.025/hour)

    • 50% off PVNT program registrations

    • 25% off PVST clinics

*Note: Vacation time not available during major program start-ups or events.*
